Privacy Policy
SCOPE
This privacy policy applies to the processing of personal data regarding the use of a digital platform for the acquisition of tickets to attend the Nova SBE Alumni Party, hereinafter referred to as the "Event Platform". The Event Platform supports the application and payment processes for the acquisition of tickets by the attendees: Registration and Payment.
In the Event Platform attendees have access to select the number of tickets, register and pay the event fee in conditions better described in the Terms and Conditions of Use.
WHO ARE WE?
Personal data will be processed by NOVA University Lisbon, legal person no. 501559094, with headquarters at the Campolide Campus in Lisbon, more specifically by Nova School of Business ("NOVA SBE") and Economics, as an Organic Unit of NOVA University Lisbon.
NOVA SBE is responsible for the processing of personal data that it carries out in the sense in which such expressions are defined and used in personal data protection legislation.
WHAT PERSONAL DATA DO WE PROCESS?
The categories of personal data that the NOVA SBE collects and processes are:
- Contact Information, specifically name and email address;
- Information about the hardware and software of the equipment used to access the Platform. This information may include IP address, browser used, date, and time of access. These data allow Nova SBE to operate the service, maintain its quality, and gather statistics on Platform usage.
- Name, mobile phone number, and email, whether for contact purposes or for registering on the platform.
- Academic background.
- Billing information: name, email, tax ID, billing address, and postal code.
WHAT ARE THE PURPOSES OF PROCESSING PERSONAL DATA?
The collection and processing of personal data are necessary for the following purposes:
- To share relevant information with Platform users, including event information.
- To provide the contact details of NOVA SBE representatives, enabling direct communication between them and users seeking more information regarding the NOVA SBE Alumni Party.
- Communication with users, including for marketing purposes.
- Management of the NOVA SBE Event Platform, namely Registration and Payment, as well as alerts and communications with the user.
- Administrative, financial, accounting, and tax management.
- Monitoring the quality of services provided.
WHAT IS THE LEGAL BASIS?
Depending on the specific purpose of processing, your data will be processed by Nova SBE as follows:
- In the context of executing pre-contractual and contractual obligations related to the implementation of the Event of which the data subject is or will be a part of, including for billing and service management purposes (Article 6(1)(b) of the GDPR);
- To comply with legal obligations to which Nova SBE is subject, particularly for tax purposes (Article 6(1)(c) of the GDPR);
- For the purposes of providing the contact details of NOVA SBE representatives; communication with third parties when necessary or mandatory within Nova SBE activities and monitoring the quality of services provided, the applicable legal basis is the legitimate interests pursued by Nova SBE or third parties, provided that a balance is struck between these interests and the fundamental rights and freedoms of the data subject (Article 6(1)(f) of the GDPR);
- Based on the express consent of the user, particularly regarding browsing and the use of cookies. Additionally, the user may consent to the collection of their data for sending marketing communications (Article 6(1)(a) of the GDPR).

WHAT ARE THE RIGHTS OF DATA SUBJECTS?
Data subjects may exercise their rights at any time. These rights include the right to object, often used in relation to certain types of communications, as well as the right of access, erasure, restriction of processing, and rectification. In addition, the data subject has the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
Data subjects also have the right to lodge a complaint with the supervisory authority, which in Portugal is the National Data Protection Commission, at https://www.cnpd.pt/.
WHOM DO WE SHARE YOUR DATA WITH?
In pursuing its mission, Nova SBE shares the personal data of its users with other entities, such as:
- NOVA Forum - Instituto de Formação de Executivos da Universidade Nova de Lisboa (Event Platform);
- Moloni, Lda (Billing);
- Stripe Payments Europe, Limited (Entity used for processing payments);
- SIBS, (Entity used for processing payments);
- Nanowonder, Lda (Entity that developed the page layout, which may have occasional and limited access to your data for back-office services).
HOW LONG DO WE KEEP PERSONAL DATA?
To ensure that personal data is kept only for the necessary period, NOVA SBE has established deadlines for the deletion or anonymization of the processed data. In particular, Nova SBE has set the following deadlines:
- Retention period for billing data, subject to legal obligations: 10 years
- Retention period for user data after the end of the Nova SBE Alumni Party: 2 months.
CHANGES TO THE PRIVACY POLICY
Please note that this privacy notice may be updated. If there are substantive or material changes that alter how the personal data is processed, the data subject will be promptly notified within a reasonable timeframe. This includes changes to the processing purposes, data controller identity, or recipient categories.
